Banking exam photo, signature and thumb impression requirements
Recruitment forms for the public-sector banks ask for four separate uploads, not two. Most applicants prepare a photograph and a signature, then discover the other two at the last moment.
The four documents
- Photograph. A passport-style colour photograph. This is the one most people expect.
- Signature. Black ink on white paper, signed inside a box so the form's cropping does not cut it off.
- Left thumb impression. This is the one that catches people out on their first banking application. It is a separate upload with its own size limit, and it must be the left thumb โ the form is not being fussy, it is being consistent with the identification done at the examination centre.
- Handwritten declaration. A short paragraph in your own handwriting, on white paper, photographed or scanned. The text of this declaration is specified in the notification and must be reproduced exactly โ not paraphrased, not abbreviated, and not typed.
This page deliberately does not quote kilobyte figures. The limits differ by examination, by post and by cycle, and a stale number is worse than no number because it costs you an application. What is here is the structure of the form and how to read your own requirement out of the official notification. The four-document structure is the same across these forms; the limits are not.
Why the declaration is the one that fails
Three things go wrong with it, and all three are avoidable:
- The wording is changed. The notification prints an exact sentence. Reproduce it character for character, including any declaration that the information given is true and that you understand the consequences of a false statement.
- It is typed, not handwritten. The point of the document is that it is in your handwriting, so it can later be compared with what you write in the examination hall. A typed declaration fails on its purpose.
- It does not fit the size limit, because a full paragraph of handwriting is a large image. This is the document most likely to need real compression, and the one where the tool above earns its place.
Preparing all four from one session
Do them together, on the same day, on the same plain white surface, in the same light. It takes ten minutes and produces four consistent documents rather than four images taken at different times under different conditions โ which matters if a human reviews them later.
- Plain white paper, no ruled lines, no watermark.
- Black ink for the signature and the declaration. Blue is sometimes accepted and sometimes not; black is never wrong.
- Photograph or scan squarely from directly above, filling most of the frame. A square, filling shot compresses better than an angled one with grey edges, because the encoder has less noise to spend bytes on.
- Check the ink is fully dry before photographing, or you will get a smudge the form's validator may not notice but a reviewer will.
Which form, and where to check
The banks share a common application platform for recruitment, so the structure above holds across them. The notification for your specific recruitment is the only place the limits are stated:
- ibps.in โ IBPS PO, Clerk, SO, RRB
- sbi.co.in/careers โ SBI
- rbi.org.in โ RBI
- licindia.in โ LIC
In each, look for the annexure headed along the lines of guidelines for scanning and uploading the photograph and signature. It will list all four documents with a separate size range for each.
Common questions
Can I reuse one image for several documents?
No. Each has its own subject matter and its own size limit. The form validates them separately and a photograph of your face will not satisfy the declaration field.
My declaration is too large to fit the limit. What now?
Write it slightly more compactly and photograph it squarely rather than at an angle. Then compress it here, and set the minimum as well as the maximum so the tool warns you if the result falls short of the floor. If the handwriting is large, the dimensions are what usually have to come down.
Does the thumb impression need to be the left thumb specifically?
The forms state the left thumb. Use it, and check your notification โ it will say which one, and it is not a detail to improvise.
Applying to one of these and found a figure that contradicts your notification? Tell me โ corrections from people who have actually submitted the form are the most useful feedback this site gets.
